The asset list, by building system
Every asset belongs to a system: roof, HVAC, electrical, plumbing, envelope or interior. Grouped that way the register answers the question the capital request asks, which system is failing, rather than the question a flat list answers. The worksheet takes one deficiency total per system; the software keeps the assets each total is built from.
Condition against each asset, priced as a deficiency
Condition is a cost, not an adjective: the asset is worth keeping or it needs $40,000 of work, and the register records the second. Priced deficiencies add to the system's backlog and the systems add to the building's. The paid plan keeps each deficiency against its asset with the date it was found and the work order that clears it.
The share each system carries, and the index the total makes
HVAC at $400,000 of a $1,200,000 backlog is 33% of it; the roof at $250,000 is 21%; the envelope at $200,000 is 17%. The total against the replacement value is the index. Two figures per system, one for the building, worked from the register and kept per year so the trend is on the record.

What is the difference between facility asset management and facility maintenance?
Asset management is the register and its condition: what exists, what state it is in, what it would cost to put right.
