This is a facility maintenance plan worksheet that prices the year's preventive work from the figures a maintenance manager already has. Tasks and hours from the assets and the interval
150 assets on a quarterly schedule is 600 preventive tasks in the year; at an hour and a half a task that is 900 technician hours. The interval is yours, from the manufacturer or your own failure history, entered as tasks a year: quarterly is 4, monthly is 12. The worksheet publishes no standard interval and takes whichever you set.
Labor and parts, priced through
900 hours at a loaded rate of $45 an hour is $40,500 of in-house labor; 600 tasks at $20 of parts and consumables each is $12,000. The loaded rate is wages plus the on-costs your finance office adds, and the parts figure is an average per visit; both are your own figures and the worked example's are there to be replaced.
Contractor visits, the total, and the cost per asset
The lift, the fire alarm, the sprinkler and the boiler come with statutory or specialist visits bought in from contractors, a fixed line rather than hours and parts: $18,000 on the worked example. Labor, parts and contractors make the plan total, $70,500, and over the 150 assets that is $470 an asset, the figure the preventive maintenance worksheet then sets against breakdowns.

What should a facility maintenance plan include?
The assets on the preventive schedule, the interval for each, the hours and parts a visit takes, the technician rate, and the specialist visits bought in, priced through to a year's total and a cost per asset. The worksheet prices it from those inputs; what the schedule should contain for your building is yours and your engineer's.
How often should preventive maintenance be done?
That is the interval, and it comes from the manufacturer's guidance, your own failure history or your engineer. The worksheet takes tasks a year as a plain number, quarterly as 4 or monthly as 12, and publishes no interval of its own; the worked example's quarterly schedule is there to show the arithmetic.
