Every figure on this page is computed from the inputs entered, by the method stated below it. FMlane publishes no code requirement, no standard's interval, no breakdown rate and no replacement value: the intervals, the rates and the avoidance assumption are yours, and the defaults are a worked example to replace with your own figures. The condition index bands quoted in the prose are sourced in research/data/claims.tsv.

A facility maintenance app is what the technician and the manager both want on a phone: the work order for the asset in front of them, what was done last time, and a way to mark it done without going back to the office. What the app has to be good at is the arithmetic behind whether the preventive visit was worth making, because that is the case the manager makes for the crew's time every year. Breakdowns per asset times the cost of a breakdown, parts, labor and the downtime, is what reactive repair costs as things stand; the preventive programme per asset times the assets is what prevention costs; the breakdowns the programme avoids, at your own assumption, is the saving. This guide is about what a facility maintenance app has to keep and work, and the free facility preventive maintenance worksheet on this site sets the breakdown cost against the programme cost from your own figures with no account.

The work order on the phone, against the asset

The app opens on the asset, shows the open work order and the last three visits, and lets the technician mark it assigned, done or deferred with a note. Filed against the asset rather than typed into a message, that visit becomes the history the next breakdown call reads. The paid plan keeps every work order against its asset and building.

Breakdowns counted, so reactive cost is a figure and not a feeling

Every reactive work order is a breakdown, and the history counts them per asset per year. Times the cost of a breakdown, parts and labor and the downtime, that count is what reactive repair costs as things stand. The worksheet takes the count and the cost; the app keeps the work orders the count comes from.

The case for the programme, worked on the same figures

The programme cost per asset comes from the maintenance plan worksheet: tasks, hours, rate and parts. Against it goes the share of breakdowns the programme avoids, which is your own assumption from your own history and nobody's published rate. Reactive cost less the avoided share, less the programme, is the net saving, positive or negative.

Facility maintenance app: common questions

Does a facility maintenance app replace the CMMS?

The app is the CMMS on a phone: the same assets, work orders and schedule, filed against the building. FMlane Pro is one workspace on any device at $24 a month for the whole team; the free worksheets need no app and no account at all.

How do I work out whether preventive maintenance saves money?

Assets times breakdowns per asset times the cost of a breakdown is reactive cost now. Assets times programme cost per asset is the programme. Your own avoidance assumption, as a percentage, cuts the reactive cost; what is left after the programme is paid is the net saving. On the worked example it is $21,300 on 150 assets.

What avoidance rate should I use?

Your own, from your own breakdown history before and after preventive visits on the assets you know best. The worked example uses 60% to show the arithmetic and nothing more; FMlane publishes no rate and the worksheet accepts any figure from 0 to 100.

On the worked example, 150 assets at 1.2 breakdowns a year and $850 a breakdown cost $153,000 in reactive repair; a programme at $470 an asset costs $70,500 and, avoiding 60% of breakdowns, cuts reactive cost to $61,200 for a net saving of $21,300 in the year.
