Every figure on this page is computed from the inputs entered, by the method stated below it. FMlane publishes no code requirement, no standard's interval, no breakdown rate and no replacement value: the intervals, the rates and the avoidance assumption are yours, and the defaults are a worked example to replace with your own figures. The condition index bands quoted in the prose are sourced in research/data/claims.tsv.

Core facility management software is the search of the manager who runs a shared core facility, a laboratory floor, a research building, an imaging suite or a clean room, where the assets are instruments and plant that a dozen groups depend on and the building around them has its own roof, HVAC and power to keep. The arithmetic the core needs is the building's: the backlog of deficiencies against the replacement value, the index that makes, and the years the capital renewal will take to clear it, because the case for renewing the air handling that keeps a clean room clean is made in those numbers. This guide is about what core facility management software has to keep and work for the building side of a core, and the free facility condition assessment software worksheet on this site works the index, the backlog per square foot and the years to clear it from your own figures with no account.

The building register under the instruments

A core's instrument list is usually kept by the core itself; what is missing is the building register under it, the air handlers, the chilled water, the power and the roof that every instrument depends on. Those are the assets whose condition the index reads, and the paid plan keeps them against the building with their deficiencies priced.

The index as the case for capital renewal

Backlog over replacement value is the figure the institution's capital committee reads, and the bands from Managing the Facilities Portfolio, good under 5%, fair to 10, poor above, are how it is read. The worksheet works the figure from your own backlog and value and publishes no rating of its own; the reading is the committee's.

Renewal against the backlog, year by year

This year's renewal off the backlog is next year's index; the backlog over the renewal is the years to clear it at that rate. Kept per year against the building in the paid plan, the run of assessments is the trajectory the committee actually funds against, rather than one year's snapshot.

Core facility management software: common questions

What is core facility management software for?

For the building side of a shared core: the assets under the instruments, their deficiencies priced, the index they make against the replacement value and the work orders that keep them running. FMlane works the index free on the page and FMlane Pro keeps the register and the work orders against the building.

Does the worksheet manage instrument booking or recharges?

No. Booking and instrument recharge are the core's own tools and FMlane does not do them. The worksheet works the building's condition index, backlog per square foot and years to clear from your own figures; the paid plan keeps the building's assets and work orders.

What is a good facility condition index?

Managing the Facilities Portfolio (1991) rated under 5% good, 5 to 10% fair and over 10% poor. The worked example's 8% sits in the fair band. The worksheet works the figure and publishes no rating; how your institution reads it is its own policy.

On the worked example, a $1,200,000 backlog against a $15,000,000 replacement value over 120,000 square feet is an index of 8% and $10 of backlog a square foot, $125 of replacement value a square foot, and four years to clear at $300,000 of renewal a year.
